Job Description:

We are in the market for a self-motivated proposal coordinator with excellent writing, organizational, coordination, and communication skills to primarily help in the RFQ and RFP ("RFx") process -while also supporting the fast-paced workflow within the marketing team. -
This position will integrate with a high-performing, supportive team of marketing and business development staff and graphic designers responsible for securing healthcare design projects all over -the country. The Marketing/Proposal Coordinator will work with various personalities-from architectural staff to other departments within the firm to outside engineers and contractors-while supporting -the marketing team with proposals, qualification packages, award submittals, resumes, presentations, and background work in data collection/management. - -The Marketing/Proposal Coordinator will specialize in qualification/proposal support and development. They will coordinate responses, review RFx documents critically to discern any discrepancies as well -as qualitatively to develop win themes and proactively strategize a plan to organize the response team (including external partners) to develop content. This will be accomplished using proposal management -tools such as responsibility matrices, regular standup meetings, and a semi-formal draft revision system. The response will be designed in Adobe InDesign (with existing templates and styles), where content -will be edited and integrated into a compliant layout per RFx requirements and submitted via the client's delivery method preference. If printed responses are required, the Marketing/Proposal Coordinator must -be able to print and produce these in our Boulder office using slightly advanced printing, cutting, and binding processes they will be trained on. Candidate may also be involved in the preparation of interview -presentation materials, as well as participating in internal debriefs and cleanup of archiving all RFx documents and updating boilerplate narratives and other project data in our systems.
Strong technical Adobe CS skills are a must (InDesign, Photoshop, Illustrator primarily), as is a structured, problem-solving mind, positive mindset, and a "whatever it takes" attitude. A knack and discerning -eye for visual page layout, graphic design, and photography highly desired. Prior experience in A/E/C marketing-especially supporting the RFx process-will separate a candidate from the pack. A candidate with -a strong document design background wanting to apply this skillset to a fast-moving environment while learning more about architecture and healthcare industries would also be a great fit for this role.
The ideal candidate will be someone with a high degree of initiative and follow-through, who will apply the same focus to working with project teams to piece together complex RFx responses as they do to -sometimes more tedious background tasks like project data mining and tagging photos. A steady work pace will be punctuated by frequent periods of higher activity with numerous deadlines; our ideal candidate -will possess the ability to handle multiple assignments while prioritizing tasks based on shifting needs-and if you are the rare type of person to enjoy that kind of chaos, you will fit in fabulously here! -
Primary Duties & Responsibilities in order from most relevant to things you may be supporting: ---- Coordinate RFx responses from initial lead tracking through deliverable development and production. May also be involved in interview presentation preparation.--- Refresh the firm's collateral, project profiles, resumes, and experience lists. Aid in the archive process of proposal files and updating the database (Deltek Vantagepoint) with project data.--- Update and maintain inventory of marketing resources including photos, floor plans, and other graphics. - ---- Help coordinate project photoshoots and upload, tag, and maintain our photo database/DAM (OpenAsset). ---- Share news and updates within the firm and be an active presence on the intranet. -
Qualifications: ---- 1-3 years' experience in A/E/C marketing preferred. Experience crafting proposals or other business document in InDesign, also preferred.--- Excellent skills in Adobe Creative Suite, including InDesign, Photoshop, Illustrator, and Microsoft Office (Word, Excel, PowerPoint, Teams, Outlook, OneDrive). (required) ---- Familiarity with information management systems such as Deltek Vantagepoint (preferred) or comparable systems. ---- Degree in marketing, communication/journalism, or graphic design preferred. Years of direct experience with specific functions of this position may be considered in lieu of a degree.--- Ability to work with geographically diverse teams across multiple offices; Excellent organizational skills and attention to detail with the ability to work with various personalities and -their schedules that factor into managing multiple deadlines. Strong writing, editing, and proofreading skills; experience with technical writing. ---- Willingness to support firmwide marketing projects and efforts outside of proposals as needed. -
The minimum annual salary for this role is $57,000.
