Writer plays a critical role in the automotive service department
by acting as the primary liaison between customers and the service
technicians. This position is responsible for accurately diagnosing
customer concerns, preparing detailed repair orders, and ensuring
clear communication throughout the service process. The Service
Writer must manage customer expectations, provide timely updates,
and facilitate a smooth workflow to maximize customer satisfaction
and operational efficiency. By coordinating service schedules and
maintaining detailed records, the Service Writer helps optimize
shop productivity and supports the overall business objectives.
Ultimately, this role ensures that customers receive high-quality
service experiences that foster loyalty and repeat business.
Minimum Qualifications: High school diploma or equivalent. Previous
experience in the commercial truck repair industry. Basic knowledge
of mechanical systems and terminology. Strong communication and
interpersonal skills. Proficiency with computer systems and service
management software. Preferred Qualifications: Experience using
dealership management systems (Karmak experience preferred).
Familiarity with truck parts and inventory management. Ability to
read and interpret repair orders and technical manuals. Bilingual
abilities to assist a diverse customer base. Responsibilities:
Greet customers promptly and courteously, listening carefully to
their vehicle concerns and service needs. Document customer issues
and vehicle information accurately to create detailed service
orders for technicians. Communicate effectively with service
technicians to understand repair requirements and timelines.
Provide customers with clear explanations of recommended services,
pricing, and estimated completion times. Update customers regularly
on the status of their vehicle repairs and address any questions or
concerns. Coordinate service appointments and manage workflow to
ensure timely completion of repairs. Maintain accurate records of
all service transactions, parts used, and customer communications
Handle customer complaints professionally and work towards
satisfactory resolutions. Promote additional services and
maintenance packages that benefit the customer and the business.
Skills: The Service Writer utilizes strong communication skills
daily to clearly convey technical information between customers and
technicians, ensuring mutual understanding. Organizational skills
are essential for managing multiple service orders, scheduling
appointments, and maintaining accurate records. Problem-solving
abilities help address customer concerns and resolve conflicts
efficiently. Proficiency with computer software enables the Service
Writer to input data accurately, track service progress, and
generate reports. Additionally, knowledge of automotive systems
supports the ability to explain repair needs and recommend
appropriate services, enhancing customer trust and
satisfaction.
