Office Administrator-Advanced Engineering

Quest Integrity, a global leader in inspection and engineering services, is seeking an Office Administrator - Advanced Engineering who will be responsible for providing and improving administrative support functions. This includes ensuring that all work products are quality documents, adhere to the company templates, and are free of typos and grammatical errors.

The position is located in Boulder, Colorado.


  • Collect and distribute incoming mail and organize outgoing mail.
  • Ensure items for shipping are appropriately packaged and utilize the best method for delivery to meet deadlines for arrival.
  • Work with laboratory personnel to ensure supplies are ordered and equipment calibrations and any required maintenance activities are scheduled.
  • Ensure all office supplies, including printer supplies, are always stocked.
  • Develop or update office administrative procedures as agreed to with manager.
  • Arrange meetings and training courses including facilities, transport, and catering.
  • Arrange vendor payments for office related expenses.
  • Complete project setup forms and assist with project management related support documents.
  • Prepare and format presentation slides, booklets, nametags, and certificates for training courses.
  • Create and maintain templates for letters, proposals, technical reports, and presentations, as needed. Work with Marketing to ensure company style guides are incorporated.
  • Ensure all documents for external distribution adhere to company guidelines and templates which outline format, font size, font type, table format, figure format, table and figure headings, use of endnotes and footnotes, formatting of appendices, and formatting of executive summary and conclusions.
  • Proof documents for grammar, typos, and ensure that they follow proper technical writing standards.
  • Ensure that the technical review is executed by the appropriate engineer and documented for all deliverables.
  • Check the report against the PO and Proposal to ensure all elements are included and complete.
  • Ensure all documents are archived on the server, in Salesforce and Wrike, as appropriate.
  • Assist engineers with formatting presentations and preparing other technical documents, as requested.
  • Establish Key Performance Indicators (KPIs) with management to ensure all document reviews are completed to meet client deadlines.
  • Maintain a schedule of tasks so that no deadlines are missed.
  • Assist with Special Projects as assigned by management. Special Projects may include tasks like quality procedure development, project management, and assisting with marketing projects.

  • Perform other job duties as assigned by management.

    • Requires a college degree.
    • Requires a minimum of 5 years of administrative experience.
    • Must possess advanced skills in Microsoft Office suite, including Word, Excel, and PowerPoint. Visio skills a plus.
    • Must have an excellent command of the English language to proof documents and adhere to proper technical writing guidelines.
    • Experience in technical editing a plus.
    • Must work efficiently to meet office and client deadlines and determine a schedule to handle multiple deadlines.
    • Must communicate well both verbally and written.
    • Proven leadership behaviors and the ability to work effectively with all stakeholder groups and work well as part of a team focused on providing solutions to clients.
