All individual pay rates are calculated based on the candidate's experience and internal equity.Overview of Role: Must be bilingual in Spanish and English. Schedule: Monday - Friday with evening clinics.Serve as the primary clinic operations employee across all non-management operations roles supporting the clinic and creating a great customer experience for the patient.ESSENTIAL DUTIES AND RESPONSIBILITIES:Office Technician Role (Front Desk):Knowledge and understanding of patient payer terminology, eligibility, and insurances accepted. To include Medicare, Medicaid, Commercial, and clinic specific programs.Skilled at receiving and processing collection of payment and proper cash handling procedure.Quality scheduling to include active-schedule management and maintaining the clinic schedule.Excellent customer service, cultural sensitivity, and confidentiality.Follow appropriate telephone protocol for patients and employees.Initiate, update and maintain electronic medical record and completion of patient registration in EMR and updates with any changes in patient status.Actively enrolls and engages patients with My Clinica Connection.Responds to patients questions by following and informing of our policies and procedures.In coordination with the security guard or hospitality clerk, actively monitor lobby area for, security, safety concerns, and cleanliness.First line of de-escalation when handling volatile, emotional, and behavioral patient issues.Report signs of abuse/neglect of patients or staff members to a clinic manager immediately.Support the Clinical team with all administration, planned care initiatives.Maintains visitor check-in process.Responsible for all "normal lab" phone calls to patients.Assists patients in filling out registration forms.Performs daily outreach from the care planner alert report and other outreach efforts as directed.Manages all outgoing correspondents via mail, email, and fax for the clinic.Participation in organization, site workgroups, or committees as requested.Basic understanding of financial enrollment and refers when appropriate.Receiving dropped off labs and basic knowledge of specimen handling and storage.Works EMR tasks on a daily basis.Clinic Office Technician Role:Provide back up to the Office Manager and Clinic Operations Manager (COM) position.Order medical, group visit, and office supplies.Maintain inventory and storage areas.Make bank deposits and assist in monitoring clinic cash flow.Maintain patient education materials and reach out and read (ROR) materials.Supports OM/COM with other compliance related tasks.Assist OM/COM in training new employees, promoting safety, and continuing education with current employees on operating procedures.Assist with initial orientation of new employees.Proactively investigates and responds to requests and situations that have not been resolved by following the standard procedure.Referral Case Manager Role:Responds to patient questions by following and informing of our policies and procedures.Performs outreach using the Open Referral Report and obtains information as needed.Updates and monitors all referrals following the internal procedure.Medical Records:Completes scanning and data entry of medical information.Copies and sends medical records as requested.Manages and distributes faxes.Follows confidentiality procedures.Serves as HIPAA Subject Matter Expert (SME).Alpine and People's Additional Responsibilities:Complete CLIA, OSHA, and safety daily, weekly and monthly tasks.Receives, unpacks, and maintains proper storage for vaccines.Complete routine safety checks.Responsible for completing patient record matches.Places work orders for facility, equipment repairs, and environmental services.Point of contact for all outside vendors.Open and distribute mail.Maintain knowledge appropriate to the level of the role about CLIA, OSHA, VFC, AAAHC, and other regulations governing the work supported:Proactively seeks clarification and/or guidance on new and existing responsibilities when any discrepancy in knowledge is realized.Clinica Walk-In Additional Responsibilities:Accurately obtains vital signs and documents within the EHR.POSITION QUALIFICATIONS:Education and Experience:High School diploma or GED required.Proficient in Microsoft Outlook, Word, and Excel preferred.Knowledge, Skills and Abilities:Bilingual in Spanish and English.Basic computer, math, written and phone skills.Excellent customer service and organizational skills.Sensitivity to low income, ethnic minority community is required.Able to flourish in a team management system.Ability to work under pressure, multitask, and prioritize efficiently.COVID-19 Vaccine (Required) Religious or Medical Exemptions available via application process.Clinica Family Health is an Equal Opportunity Employer.
